This is the entry and training grade for this cadre. An officer at this level will work under supervision of a senior officer.

Terms of Service: Permanent and Pensionable
Remuneration: Salary and Benefits are those attached to KNRA Grade 8

For appointment to this grade an officer must have: –
i.             Diploma in Secretarial Studies from the Kenya National Examinations Authority OR Passed the following examinations from the Kenya National Examinations Authority (KNEC);
a)     Typewriting III (Minimum 50 w.p.m.)/Computerized document processing III;
b)     Shorthand III (110 w.p.m);
c)      Business English III/Communications I;
d)     Office Management III/Office Administration and Management III;
e)     Secretarial Duties II;
f)      Commerce II;
ii.            Proficiency in Computer Applications;
iii.           Fulfill the requirements of Chapter 6 of the Constitution.

Duties and responsibilities
i.             Handling visitors/clients enquiries;
ii.            Maintaining office diary and travel itineraries;
iii.           Receiving and distributing hard copy materials to registry;
iv.           Providing word -processing and secretarial support;
v.            Ensuring security of office records, equipment and documents;
vi.           Preparing responses to simple routine correspondences;
vii.         Operating office equipment to include photocopying, printing;
viii.        Recording dictation in shorthand and transcribing it in typewritten form typing from drafts, manuscripts or recording from dictation machines;
ix.           Planning and scheduling of meetings;
x.            Preparing and responding to routine correspondences;
xi.           Management of e-office;
xii.         Managing office petty cash;
xiii.        Attending to visitors/clients;
xiv.        Handling telephone calls;
xv.         Coordinating schedules of meetings;
xvi.        Ensuring security of office records, equipment and documents including classified materials;
xvii.       Maintaining an up-to-date filing system in the office;
xviii.     Establishing and monitoring procedures for record keeping of correspondence and file movements;
xix.        Preparing responses to simple routine correspondence;
xx.         Managing office protocol and etiquette;
xxi.        Supervising office cleanliness; and
xxii.       Undertaking any other office administrative services duties that may be assigned.
